Recording payments
Log monthly subscriptions and one-time donations, and issue receipts.
Recording a payment is how you log money your masjid has received. Each payment is saved against a fund and a date, and you can issue a numbered receipt for it. There are two kinds of payment you can record.
The two kinds of payment
A subscription payment is tied to a member, a fund and a particular month. It is how a member keeps up with the amount they have agreed to give. Recording one reduces that member's Outstanding.
A one-time donation is money given once, with just a date and an amount, and no monthly period. It does not have to belong to anyone, so it can be recorded as anonymous.
The fields explained
- Member
- For a subscription payment, the member the money came from. A one-time donation can name a member, a person who is not on the member list, or no one (anonymous).
- Amount
- How much was received, in ₹. For a subscription this is filled in from the member's agreed amount, but you can change it.
- Fund
- Which fund the money goes towards, for example General or Building.
- Date paid
- When the money was received. It defaults to today, and can be back-dated for a payment that came in earlier.
- Method
- How it was paid: cash, bank transfer, UPI, card, cheque, online, or other.
- Reference
- An optional note such as a bank transaction id or cheque number, to help you match it later.
- Status
- Usually completed. It can also be pending, failed or refunded for payments that did not fully clear.
- Receipt
- A receipt number and date, if you choose to issue one when recording the payment.
Recording a subscription payment
- Open Payments from the menu and choose Record payment.
- Pick the member. The amount fills in from their subscription, but you can edit it if they gave more or less.
- Confirm the fund and the month the payment is for.
- Set the date paid and the payment method, and add a reference if you have one.
- Choose whether to issue a receipt now or later, then save.
Several months paid at once
When a member pays for more than one month, pick the first month in From month, then set Months to how many it covers. Type the amount for one month; the form shows the total. Each month is counted as paid on its own, and the member gets one receipt for the whole amount, naming every month.
The months stay together on that receipt. Deleting one of them withdraws the receipt, and the months left can be given a new one.
Entering a collection sheet
When a collector brings back a list of who paid, enter it in one go. On Payments, choose Collection sheet next to Outstanding this month.
- Pick the fund and the month, and the ward if you have wards.
- Tick everyone who paid. Each amount fills in with what the member still owes for that month; change it if they paid a different amount.
- Set the payment date and method, then choose Record.
Members already paid in full show as Paid and cannot be ticked. If someone was paid from another screen while the sheet was open, they are left out and named when you save.
Recording a one-time donation
A one-time donation is recorded from the fund it goes to, not from the Payments page. It can go into any fund, including one your members pay monthly into.
- Open Funds from the menu, open the fund, and choose Record donation.
- In the Member box, pick who gave:
- a member from the list,
- someone who is not a member: type their name and choose Not on the roll, add with the name. Leave Also add to the member roll unticked to keep the name on this donation only,
- or leave it on Anonymous, for example for money from a collection box.
- Enter the amount, date and method. There is no month to choose, because a donation is not tied to a subscription.
- Choose whether to issue a receipt now, then save.
The donation adds to the fund's total. It does not change any member's subscription or Outstanding.
Finding payments
Filter the payments list by fund, method, status or who recorded them to find any payment quickly. Filtering by Recorded by also splits a collection day per collector, so each person's total can be checked against the cash they hand over. To save or share the figures, see Reports.
When the same payment is already recorded
A payment with the same member or name, fund, source, amount and date as one already recorded is not saved straight away. A Possible duplicate notice appears instead, showing who recorded the earlier one and when. Check the list first. If it really is a second payment, choose Record anyway. Changing any detail clears the notice. The same check applies to collections, gifts and promises. Anonymous money, and payments with different reference numbers, are never flagged.
Receipts
Every receipt is numbered and carries your masjid's name and logo, so it looks official to the person who gave. You can issue a receipt at the moment you record a payment, or leave it and issue one later. Once issued, a receipt can be shared as a PDF over WhatsApp or email, printed, or downloaded.

Money already receipted on paper
If a handwritten receipt was given before the payment reached InflowBooks, enter its number in Paper receipt no. when you record the payment. The payment then shows Paper and that number in place of a receipt, can be found by the number in search, and is not given an InflowBooks receipt as well. You can add or correct the number later from Edit. When you import payments or collections, a Receipt no column fills it in.
Editing and removing payments
A payment can be edited if you got a detail wrong, or removed if it should not have been recorded. A removed payment is hidden, not erased. There is no undo in the app. Ask the platform administrator to restore one removed by mistake.
