Member registration links

Let households or single members fill in their own details through a link, then review each one before it joins the register.

Collecting member details by hand is slow work. Registration links let a household, or one member, enter their own details through a simple online form, so your committee reviews the information instead of typing it all in. Nothing goes into your register automatically: every submission waits for a committee member to check and approve it first.

The kinds of link

When you create a link you answer two questions: who it is for (a household, or one person) and who can open it (anyone, or one already on the register). Together they give one of these:

Open link
One link you can share with everyone, for example in a WhatsApp group or as a QR code. Any number of households can fill it in. Best when many new families need to register themselves.
Household link
A personal, single-use link for one specific house to confirm or update its details. When the household opens it, their existing details are filled in for them. Best for keeping a known family record up to date.
Member link
A personal, single-use link for one person. The code goes to their own WhatsApp number, the form opens with only their details filled in, and approving it updates their row and nothing else. Best for a member living away, or anyone whose own phone, work or education details have changed.
Open member link
One link anyone can use to register themselves, as many times as it is shared. The form asks for one person and no house. Best for a masjid without households, or for a bachelor, a new tenant or a grown-up child in a mahallu registering on their own.

How a household or member verifies

When WhatsApp is set up for your masjid, the person confirms a one-time code sent to their WhatsApp number before they can submit, so you know the number is real. A household or member link always sends the code to the number already on your register, never to one they type. When WhatsApp is not available, an open link uses a light bot check instead; a household or member link cannot be used until WhatsApp is on. Either way, the committee still reviews every submission.

Creating and sharing a link

  1. Open Registrations from the menu and choose New link.
  2. Say who the link is for and who can open it. For a household link choose the house; for a member link choose the person. The line underneath tells you what the link will do.
  3. Optionally add a label for your own reference, an expiry, and whether to ask for WhatsApp verification.
  4. Choose Create link. Then Copy the link to share it, or, when WhatsApp is on, Send it straight to the household.

A poster and QR code for the notice board

Your masjid has one registration address, your masjid's address followed by /register. It opens the open link marked On the poster. Your first open link is marked for you.

  1. On Registrations, find the Poster and QR code card.
  2. Pick the language, English + Malayalam, English or Malayalam, and the paper size: A5 or A4 for an acrylic table stand, A4 or A3 for the notice board. Then choose Print poster. The poster carries your logo, your colours, the QR code and the address written out. Or choose Show QR to show the code full screen for people to scan from your phone or the office screen.
  3. To change which link the poster opens, choose Use for the poster on another open link. Posters already up open the new link, so there is nothing to reprint.

If you turn off the link on the poster, people who scan it are told it is turned off. Choose Use for the poster on another open link, or create a new one, to open it again.

Reviewing submissions

Everything a household or member submits appears under Pending submissions. Each one shows the family head and the members at a glance, or the one member a member link was for; choose View full details to see every field before you decide. Then:

  1. Approve to add the household to your register. A new house is created, or an existing house is updated when the submission came from a household link. You can set the house number first. A member update changes only that member's own row: it never adds or removes anyone, and never touches the house.
  2. A New member (someone who registered themselves) is added as one member, with no house, or into the house you pick in a mahallu. If their phone number is already on your register the card says so and offers Approve as update of that member instead, so nobody is listed twice.
  3. Reject to discard a submission you do not want. Its personal details are cleared.
  4. Delete (administrators) to remove a submission outright, for example on a request to delete someone's data.

What the household sees

The form opens in Malayalam for masjids in India, and the household can switch between Malayalam and English at the top of the page at any time. If you want a link to open in one language, add ?lang=ml or ?lang=en to the end of it before you share it.

After submitting, a household is shown a short reference code. They can enter it on the status page to see whether their submission is still pending or has been approved. That page follows the same language as the form. They never see anyone else's details.

Privacy and old submissions

Submitted details are held only for review. Once you approve a submission the information moves into your register and the original is cleared; a rejected one is cleared too. If submissions build up unreviewed, the inbox offers to clear those past a retention period, with a confirmation first. You can read more under Privacy.
